Be Realistic About Timing

Weddings are full of moving parts, and things often take longer than expected. To ensure you have a good time and avoid feeling rushed, be realistic about how much time each activity or event will take. This also allows space for unexpected delays or last-minute adjustments. This approach is the best way to ensure you have enough time to complete everything.

Break It Into Sections

Dividing your celebration into key sections will help you visualize the flow of events. Consider these rough timeline examples:

Pre-Ceremony: appointments with hair stylists and makeup artists, putting on your wedding dress/attire, and the first look (if applicable)
Ceremony: Arrival time, grand entrance, ceremony length, and grand exit
Post-Ceremony: Couple portraits, family portraits, and bridal party pictures
Reception: Greet guests, cocktail hour, dinner, best man/wedding party speeches, first dances, and last dances

Don’t Forget the Buffer Time

It is always a good idea to factor in some buffer time. Why? It will save the day if things run slightly behind schedule. The last thing any couple wants is to have to sacrifice elements of their dream wedding to keep on schedule!

If you're planning to take photos between the ceremony and reception, make sure to allow ample time to capture shots of the wedding party members, close family photos, and intimate couple photos. This is one of the most memorable parts of your day, and the photos will be cherished keepsakes once the wedding is over - don’t rush through it!

Whether it’s giving extra time for hair and makeup, or allowing time for your wedding photographer to capture those candid shots on the dance floor, a good rule of thumb is to always add 15 minutes of flexibility between the main events.

Prioritize Moments That Matter

You might have a lot of activities planned, but be sure to prioritize the moments that matter most to you. A first look, a private vow exchange, or a special dance with the father of the bride can be more important than fitting everyone on the guest list into a large group photo. Focus on what will make you happiest and work around those moments.

Involve Your Vendors in the Timeline

Once you have a basic timeline set, share it with your vendors. Wedding coordinators, florists, photographers, videographers, and the reception venue all need to know when and where they need to be. Keep communication open to avoid any confusion, and don’t be afraid to ask questions. A good vendor will appreciate knowing your detailed wedding timeline and will work with you to ensure everything runs smoothly.

Consider Your Guests' Comfort

While your timeline revolves around your big day, don’t forget about your guests! Make sure your ceremony, wedding venue, and reception schedules are comfortable for them. For instance, if you're planning an extended cocktail hour, consider adding lawn games like cornhole, giant Jenga, and ring toss, which provide fun for both adults and kids.

Also, if your ceremony and reception are at different locations, give guests plenty of time to get from one place to the other.
